Abstract

Disorganized recording and digital archiving processes can lead to fragmented operational data, delayed information, difficulties in document retrieval, and an increased risk of human error. This study aims to analyze the problems in the recording and digital archiving processes at PT Advantis Energy Persada and to design an improved model that aligns with the company's operational needs. A qualitative approach with a case study design was employed through observations, interviews, and document analysis involving the administration, finance, and project divisions. Data were analyzed using the Miles and Huberman model, the Fishbone Diagram, and the 5 Whys Analysis to identify the root causes of the problems. The findings indicate that the main issues include fragmented data across multiple files, the absence of standardized recording and archiving procedures, limited project monitoring capabilities, and poor document traceability. This study proposes an improved model, visualized through a Microsoft Excel-based prototype consisting of a master database, transaction log, material tracking, document tracking, and a monitoring dashboard as an initial validation of the company's system requirements.
