Abstract
The Palm Springs Golf dan Country Club Batam faces significant challenges in
managing vehicle and driver reports. The current system relies heavily on Microsoft
Excel, which involves manual processes and hampers efficiency. Managing vehicle
loans is particularly impractical due to the manual nature of the process, which is
time-consuming and prone to delays. Additionally, data updates in Excel cannot be
performed simultaneously by multiple users, slowing down the process of loan
approvals as information is often unavailable or not updated in real- time. To
address these issues, a web-based reporting application was developed using the
PHP programming language with the CodeIgniter framework. This solution aims to
enhance control and monitoring of vehicles, offering web-based reporting features
accessible via computer or smartphone, thereby improving operational efficiency.
The application accommodates three user roles: admin, section head, and driver.
Admins manage driver registrations, vehicle records, reports, and dashboard
monitoring. Drivers use the application to submit daily activity reports, manage
vehicle usage, and request loans. The section head oversees loan approvals by
verifying the completeness and accuracy of submissions before granting or
rejecting requests. Developed using the waterfall method, the application integrates
an application server that ensures secure data storage and facilitates information
exchange between users and the database. This web-based system is expected to
resolve monitoring challenges, expedite loan approvals, and improve management
control, significantly enhancing the company’s operational effectiveness.
Description
Perusahaan Palm Springs Golf dan Country Club Batam saat ini menghadapi tantangan dalam pelaporan pemantauan kendaraan dan driver di perusahaan, perusahaan belum memiliki aplikasi tersendiri yang dikhususkan untuk pelaporan driver dan kendaraan, saat ini masih menggunakan aplikasi Microsoft Excel yang belum praktis dalam menyediakan estimasi waktu dan jarak yang tepat untuk aktivitas mobilisasi orang dan barang. Perusahaan memiliki sekitar 11 kendaraan operasional dengan 7 driver yang mendukung mobilisasi kegiatan. Selain itu, rata-rata terdapat 5 transaksi pelaporan mobilisasi setiap harinya, yang mencakup, pengajuan permohonan peminjaman, persetujuan permohonan peminjaman, pencatatan perjalanan kendaraan dan aktivitas driver. Dengan volume operasional ini, pengelolaan menggunakan Excel dan proses peminjaman menjadi kurang praktis dikarenakan proses manual yang membutuhkan waktu, pembaruan data sering kali tidak dapat dilakukan secara bersamaan oleh banyak pengguna sehingga memperlambat proses persetujuan peminjaman kendaraan karena informasi mungkin tidak langsung tersedia atau ter-update.
